SUMMIT RULES & REGULATIONS FOR DELEGATES
Following an International Attendance of different categories of Summit Delegates or Participants. The following Regulations/ Guidelines/ Rules must be followed:
- All Delegates upon arrival in Thailand must transfer to Hotel Prince Palace Bangkok for registration and check-in.
- Delegates from outside Thailand must submit their Passport and Visas for Verification by the Summit Officials and the Hotel prior to check-in after 14:00hrs
- Delegates will be expected to arrive in Thailand by 14th July before or after 14:00 hrs. Check-in at your Hotel room will be done after 14:00 hrs as per Thailand Hotel Regulations.
- Hotel rooms will be allocated in accordance with your reserved package of the summit on a sharing and non-sharing basis.
- Passport bio data page, Return Air ticket details, Visas for all Summit Delegates will be submitted upon arrival at the Hotel for Verification and Photocopying to ensure all delegates arrive in Thailand for the summit in the right channels and also exit the Country after the summit on departure
- All Delegates will follow the summit schedules, procedures, protocols, and guidelines as well as the Hotel rules and guidelines.
- Upon arrival at the Hotel, all delegates must submit printed invitation letters during Registration alongside passports for obtaining summit ID/ Passes and Certificates of Participation
- All delegates are advised not to engage in other events, activities outside the summit, as the summit organisers will not be liable for any irregularities from theft, robbery, imprisonment and similar circumstances.
- All Delegates must follow guidance from summit officials and volunteers as briefed on arrival.
- Delegates must submit all enquiries for any services at the hotel to the Summit organizers first, who will engage the Hotel's officials.
- Any Meals / Drinks or other services from the Hotel taken by any delegates, other than scheduled meals, will be at the cost of the delegate.
- Participants from Universities/ Colleagues will be accommodated according to the same gender separating male and female participants.
- Delegates are not allowed to leave the Hotel without notice of the summit organizers / Officials for reasons as shopping, Clubbing and personal reasons as Permission must be sought and accompanied by summit Officials/supervisors/volunteers
- All Delegates will undergo timely roll calls during Summit days and during Hotel hours from Mornings (Breakfasts), Afternoons ( Lunch) and Nights (Dinner ) throughout the summit days from 14 – 18 JULY 2025.
- All Delegates will receive services according to their reserved packages, and only services booked will be provided.
- All delegates will be accompanied at the Airport after the summit closure to ensure all Delegates outside Thailand exit the country to eliminate any allegations of human trafficking.
- All Delegates must communicate any grievances, claims, requests, or enquiries regarding any services during the summit through the WhatsApp group.
- All Delegates must abstain from any criminal offences like Theft, Rape, Robbery, Kidnap, Hostility, Bullying, Fighting to both fellow Delegates or summit officials as it may result to Arrest and Detainment for hours at Police in Bangkok, Thailand by Security officials
- All Meals and Breakfast will be available according to the scheduled summit time tables, as delegates must follow the appropriate meal times.
- All Hotel Belongings must be left in the Hotel, as any delegate's destruction, misplacement, loss, or theft of any Hotel items will be payable by the Delegate occupying the room.
- All Delegates must ensure to obtain payment Receipts, Invitation Letters, Visas, Summit ID and Conference Materials both on arrival at the Hotel and Conference Hall in Bangkok, Thailand. Certificates of Participation will, in some circumstances, be emailed or printed out.
- All Delegates upon arrival at the hotel will undergo security measures and checks by the Hotel and Summit Officials and Security scans for luggage and any test questions if necessary to ensure rightful delegates attend.
- Attendance for the Gala night will be accompanied by special coupons.
- All Delegates in Thailand are requested to show a high level of Hospitality to the Foreign Delegates participating in the Summit.
- All Foreign Delegates are advised to show a high level of professionalism, etiquette and discipline during the summit.
- Any acts of violence will not be tolerated during the summit.
- All transfers to the Airport, Summit Venue at the United Nations Conference Center will be supervised and accompanied by Summit Supervisors/Volunteers.
- All Delegates participating and attending the THAILAND TRIP must ensure pre-booking of THAILAND TRIP TICKETS, and no delegate will attend without prior bookings or Cash payments before Departure from THAI RESIDENTS.
- Delegates are called upon to take care of their Personal belongings as the summit organisers will not be liable for any losses incurred.
- All Delegates must declare their personal gadgets, i.e Laptops, cameras, to ensure no delegates claim ownership of items they never traveled with.
- Delegates will be provided with summit T-SHIRTS and other Complementary items with choices Deep Pink, Blue, White and Black, and in different sizes.
