a) WITHDRAWAL & REFUNDS:

There will be no refund if any Exhibitor withdraws after the payments of the participation fee beyond 31st May. If a participant pays for participation and wishes to withdraw after this date, they will have to forfeit their contributions.

c) EXHIBITOR CATALOG:

Company details provided on the application form and the profile attached to email shall be sent to us via WhatsApp +256 773 770 550. This form is sent in a PDF printable, filled in, scanned and sent back to us via WhatsApp.

d) SUMMIT EXHIBITION DATES:

Exhibition Space will be allocated on a first-come, first-served basis.

g) Spaces will be allocated based on availability. Please note that some configurations may not be possible given the layout of the Exhibition area.

h) The floor plan/ layout may change from time to time. In case changes to the floor plan are made, the registered Exhibitors will be notified. We will endeavor, however, to keep you within the area already selected.

SUMMIT RULES & REGULATIONS FOR DELEGATES

Following an International Attendance of different categories of Summit Delegates or Participants. The following Regulations/ Guidelines/ Rules must be followed:

All Delegates upon arrival in Thailand must transfer to Hotel Prince Palace Bangkok for registration and check-in.
Delegates from outside Thailand must submit their Passport and Visas for Verification by the Summit Officials and the Hotel prior to check-in after 14:00hrs
Delegates will be expected to arrive in Thailand by 14th July before or after 14:00 hrs. Check-in at your Hotel room will be done after 14:00 hrs as per Thailand Hotel Regulations.
Hotel rooms will be allocated in accordance with your reserved package of the summit on a sharing and non-sharing basis.
Passport bio data page, Return Air ticket details, Visas for all Summit Delegates will be submitted upon arrival at the Hotel for Verification and Photocopying to ensure all delegates arrive in Thailand for the summit in the right channels and also exit the Country after the summit on departure
All Delegates will follow the summit schedules, procedures, protocols, and guidelines as well as the Hotel rules and guidelines.
Upon arrival at the Hotel, all delegates must submit printed invitation letters during Registration alongside passports for obtaining summit ID/ Passes and Certificates of Participation
All delegates are advised not to engage in other events, activities outside the summit, as the summit organisers will not be liable for any irregularities from theft, robbery, imprisonment and similar circumstances.
All Delegates must follow guidance from summit officials and volunteers as briefed on arrival.
Delegates must submit all enquiries for any services at the hotel to the Summit organizers first, who will engage the Hotel's officials.
Any Meals / Drinks or other services from the Hotel taken by any delegates, other than scheduled meals, will be at the cost of the delegate.
Participants from Universities/ Colleagues will be accommodated according to the same gender separating male and female participants.
Delegates are not allowed to leave the Hotel without notice of the summit organizers / Officials for reasons as shopping, Clubbing and personal reasons as Permission must be sought and accompanied by summit Officials/supervisors/volunteers
All Delegates will undergo timely roll calls during Summit days and during Hotel hours from Mornings (Breakfasts), Afternoons ( Lunch) and Nights (Dinner ) throughout the summit days from 14 – 18 JULY 2025.
All Delegates will receive services according to their reserved packages, and only services booked will be provided.
All delegates will be accompanied at the Airport after the summit closure to ensure all Delegates outside Thailand exit the country to eliminate any allegations of human trafficking.
All Delegates must communicate any grievances, claims, requests, or enquiries regarding any services during the summit through the WhatsApp group.
All Delegates must abstain from any criminal offences like Theft, Rape, Robbery, Kidnap, Hostility, Bullying, Fighting to both fellow Delegates or summit officials as it may result to Arrest and Detainment for hours at Police in Bangkok, Thailand by Security officials
All Meals and Breakfast will be available according to the scheduled summit time tables, as delegates must follow the appropriate meal times.
All Hotel Belongings must be left in the Hotel, as any delegate's destruction, misplacement, loss, or theft of any Hotel items will be payable by the Delegate occupying the room.
All Delegates must ensure to obtain payment Receipts, Invitation Letters, Visas, Summit ID and Conference Materials both on arrival at the Hotel and Conference Hall in Bangkok, Thailand. Certificates of Participation will, in some circumstances, be emailed or printed out.
All Delegates upon arrival at the hotel will undergo security measures and checks by the Hotel and Summit Officials and Security scans for luggage and any test questions if necessary to ensure rightful delegates attend.
Attendance for the Gala night will be accompanied by special coupons.
All Delegates in Thailand are requested to show a high level of Hospitality to the Foreign Delegates participating in the Summit.
All Foreign Delegates are advised to show a high level of professionalism, etiquette and discipline during the summit.
Any acts of violence will not be tolerated during the summit.
All transfers to the Airport, Summit Venue at the United Nations Conference Center will be supervised and accompanied by Summit Supervisors/Volunteers.
All Delegates participating and attending the THAILAND TRIP must ensure pre-booking of THAILAND TRIP TICKETS, and no delegate will attend without prior bookings or Cash payments before Departure from THAI RESIDENTS.
Delegates are called upon to take care of their Personal belongings as the summit organisers will not be liable for any losses incurred.
All Delegates must declare their personal gadgets, i.e Laptops, cameras, to ensure no delegates claim ownership of items they never traveled with.
Delegates will be provided with summit T-SHIRTS and other Complementary items with choices Deep Pink, Blue, White and Black, and in different sizes.

Please note that sponsorship payment is due not later than MAY 31, 2025, which can be made via Bank Transfer or Direct Bank Deposit. Your Contract will be cancelled if we do not receive payment by JUNE 20, 2025.

However, Sponsorship of the WALK TO WELLNESS CHALLENGE payment is due not later than APRIL 31, 2025.

CANCELLATION POLICY

TERMS & CONDITIONS:

No refunds will be made on any sponsorship after and contract signing. In the Event a package is cancelled, the complimentary registrations will also be cancelled. All Additional registration fees are non-refundable. If the Summit is cancelled, a full refund equal to the amount paid to the WORLD YOUTH SUMMIT Directors to participate in the event will be refunded.

LIABILITY

AFRICA YOUTH KINGDOM, UNITED FOR HUMAN RIGHTS, YOUTH FOR HUMAN RIGHTS INTERNATIONAL, WASHINGTON D.C, & TRAVEL BOSS Summit Organisers / Directors will not be liable and make no guarantee of the number of visitors as well WORLD YOUTH SUMMIT EVENT is not liable to the sponsor / Exhibitor for the level of Commercial activity generated.

DISPUTE RESOLUTION

For all Disputes arising out of or in connection with the Present contract, please contact the WORLD YOUTH SUMMIT Directors.

Sponsors / Exhibitors are responsible for setting up all aspects of their booth/space, including all costs, their own screen and other AV from their business to set up their space. CONDUCT / RESTRICTIONS

Sponsors/ Exhibitors agree to abide by the following:

Sponsors / Exhibitors are expected to respect WORLD YOUTH SUMMIT ORGANISERS of the Event and agree that their actions will not contain any reference to its endorsements and Purposes. Sponsorship or other Relationships with associations or organizations that represent interests hostile to or competing with WORLD YOUTH SUMMIT.
The Sponsor / Exhibitor shall not conduct outside activities which would take qualified attendees from the official functions of the conference during the scheduled show or conference hours.
The sponsor / Exhibitor agrees to treat all Summit Attendees with courtesy and not discriminate against any person for any reason. WORLD YOUTH SUMMIT DIRECTORS reserve the right to remove any sponsors / Exhibitors whose personnel discriminate against any persons in any manner.
Sponsors / Exhibitors are not authorized to use or reproduce any WORLD YOUTH SUMMIT Logos in or on their booth, website, flyer or other material without prior written approval from the Directors.

TERMINATION OF SUMMIT

Should there be any unfortunate circumstances where the summit has to be canceled or postponed or access to the Hotel is prevented or interfered with by reasons of strike, lock out, injunction, act of war, act of God or Nature, Emergency declared by any government agency or for any other reasons of in access of the United Nations Conferences Halls.

This contract may be renewed or terminated by WORLD YOUTH SUMMIT Directors at any time. In the Event of such Renewal or Termination, World Youth Summit organisers will renew or refund the total amount of fees paid for participation in the summit. The Sponsor / Exhibitor waives any and all damages and claims for damages or can adhere to postponement of the Event in case of refund choice.

OVERVIEW

WORLD YOUTH SUMMIT 2025 in Bangkok, Thailand organized by Africa Youth Kingdom and United for Human Rights and supported by Youth for Human Rights International Washington D.C, International Parliament for Safety Peace and Justice, LED Academy International and other development partners, aims to inspire emerging leaders who push the limits of their potential to come together to discuss and implement strategies for empowering youth leaders to drive sustainable change for a brighter future. The summit also promotes collaboration among diverse young people from various fields to harness their leadership skills in working towards achieving sustainable development goals.

PARTICIPATION AND REGISTRATION

Applicants will receive an Invitation Letter, Certificate of Participation, Summit ID card, Visa Support Documents, Conference facilities and items, Meals during the Summit, Hotel Accommodation, Ground Transportation, Airport Transfers, and Thailand Tour Tickets

The summit also promotes collaboration among diverse young people from various fields to harness their leadership skills in working towards achieving sustainable development goals.

JULY 16

Summit at Cultural Gala day with Co--curricular activities, Traditional Wear, Traditional performances, Tourism Exhibitions and Showcases, Certificates award ceremony and evening BANGKOK DINNER CRUISE PARTY at Chao Phraya River with Live Music, Thai Traditional Dances, International Buffet, Live Band.

Lunch break at 1pm.

PATTAYA CITY

Embark on Round road trip from Bangkok city at 1pm after lunch to Pattaya City about 2 hours away.

Explore view points and stopovers along the way and arrive in Pattaya at 3pm. Tour starts till 22:00hrs to return in Bangkok City.

Sites to visit: Pattaya floating market, Sanctuary of Truth, Pattaya View point, Wat Phra Yai, Pattaya Night life.

Focus:

The Summit aims to provide a platform for global youth to share innovative ideas, engage in ICT Dialogue, contribute to a more inclusive and interconnected digital world, and engage in cultural exchange and knowledge sharing.

Participation:

Participation is open to all International Youth from International organisations and countries worldwide. Age restriction is from 18 - 55 years. Those above 55 years must seek the attention of the organizers if they want to participate.

Registration:

Advance registration is mandatory. Deadline for registration is 14TH JUNE 2025

Format:

The World Youth Summit will be held in a physical format with no remote participation. The summit will feature dynamic plenary sessions, skills building, and workshops, collaborative discussions focusing on social development, policy making, Tourism, sustainable development, environmental conservation, global peace and youth empowerment.

Lunch break at 1pm.

PATTAYA CITY:
